In the current landscape of sharing information over computer networks and the mobile computing environment, sensitive and classified materials are being created using office document suites, which changes these materials from its original hardcopy version to digital format. Stored in a networked environment, this may lead to the potential risk of data theft, evidence tampering and the leakage of sensitive business information such as crucial marketing strategies or new product launches.

SCAN's Secure Document Management System ("SDMS") is a solution which can be tailored to suit any organisation. We offer uncompromised document security through:

Multi-factor User Authentication : Supporting combination of password, smartcard or USB-keys for higher security access control.

Strong Encryption : 256-bit symmetric encryption for encrypting document while 2048 for system user asymmetric key.
 
Encryption for Individual User Key : Ensures that documents are encrypted for an authorised user and cannot be opened by others.
 
Key Splitting Encrypted Storage : Documents stored in central document repository are encrypted with special server encryption key which is split across several administrators, preventing a single person to decrypt the documents.
 
Secure Delete : All documents will be digitally shredded and unrecoverable through any means. The mechanism for deleting
files complies with international standards.
 
Digital Right Management : Copyright owner(s) to enforce access and usage of corporate documents based on individual users or groups.

Secure Volume : Ensures that documents transferred to a local machine for offline viewing are always securely encrypted.

Comprehensive Audit Trail : Tracks every single access and user activities onto the documents.
 
   
Digitally converted documents inherit the same criticality and confidentiality of the original document. SDMS provides various countermeasures and mechanisms to ensure the security of the document is not compromised, secured whilst access policy is enforced in the SDMS end-user functionality.
 
   
Integration with SCAN MatrixNET Key Management  
Integration with MatrixNET is the key to the SDMS. Utilising the SCAN MatrixNET infrastructure, public key pairs can be created and provisioned to members of an organisation who can utilise it to perform security operations as well as accessing documents stored in SDMS.
 
   
Every document will be stored in encrypted form and will be re-encrypted for the intended user upon retrieval. The document can only be accessed and utilised by the user who posses a valid password.
